Refund Policy

Our payment, billing, and refund terms for Guiden services

Guiden is currently offered as a free pilot program to qualifying School Partners. This Refund Policy governs any paid services that may be offered in the future and sets out the framework for how billing, refunds, and disputes will be handled when paid tiers are introduced.

1. Current Pricing β€” Free Pilot Program

As of the effective date of this policy, Guiden is provided at no charge to School Partners accepted into our free pilot program. There are no fees, subscriptions, or payments required during the pilot period.

Acceptance into the pilot program is at the sole discretion of Color Coded Kids LLC. We reserve the right to conclude the pilot program and introduce paid tiers with at least 60 days' advance written notice to active pilot participants.

Because the Service is currently free, refund provisions in Sections 3–6 are not currently applicable but are established here for transparency and future reference.

2. Future Pricing Structure

When paid tiers are introduced, we anticipate the following pricing structure (specific pricing subject to change with notice):

Student AccessFree β€” students will always have access to the core tutoring features at no cost to them individually
Classroom/Teacher TierSubscription-based, billed to the School Partner on a monthly or annual basis
School/District TierEnterprise pricing negotiated with school districts; includes data processing agreement and dedicated support
Pilot ParticipantsCurrent pilot participants will receive pricing terms no less favorable than those offered to new subscribers at the time of conversion

3. Billing Terms (When Paid Tiers Are Active)

3.1 Subscription Billing

Paid subscriptions will be billed in advance on a monthly or annual basis. Annual subscriptions offer a discount over monthly billing. All prices are in US Dollars unless otherwise specified.

3.2 Payment Methods

We will accept major credit cards (Visa, MasterCard, American Express, Discover) and ACH bank transfer for school/district accounts. School purchase orders will be accommodated for School/District tier accounts. Payment processing will be handled by a PCI-DSS compliant payment processor. Color Coded Kids LLC does not store full credit card numbers.

3.3 Automatic Renewal

Subscriptions automatically renew at the end of each billing period unless canceled. You will receive an email reminder at least 14 days before an annual renewal. Monthly subscriptions may be canceled at any time effective at the end of the current billing period. Cancellation does not entitle you to a refund for the current billing period.

3.4 Price Changes

We reserve the right to change subscription pricing with at least 30 days' advance written notice. Price increases will not apply until the start of your next renewal period following the notice.

4. Refund Policy

4.1 14-Day Satisfaction Guarantee (New Subscribers)

New paid subscribers (School Partners initiating their first paid subscription) are entitled to a full refund if they cancel within 14 calendar days of the subscription start date, provided that the cancellation request is submitted in writing to info@colorcodedkids.com with the subject line "Refund Request." Refunds will be processed within 7–10 business days to the original payment method.

4.2 No Refunds After 14 Days β€” Monthly Subscriptions

After the 14-day satisfaction guarantee period, monthly subscription fees are non-refundable. If you cancel a monthly subscription mid-period, your access will continue until the end of the paid period, and no partial-month refund will be issued.

4.3 Pro-Rated Refunds β€” Annual Subscriptions

Annual subscribers who cancel after the 14-day satisfaction guarantee period are eligible for a pro-rated refund for unused complete months remaining in the subscription term, calculated as:

Refund = (Annual Price / 12) Γ— Number of Unused Complete Months

Example: An annual subscriber paying $1,200/year who cancels after 5 months would receive a refund of ($1,200 / 12) Γ— 7 = $700. Partial months are not refunded.

4.4 School/District Enterprise Accounts

Refund terms for School/District enterprise accounts are governed by the individual agreement between Color Coded Kids LLC and the school district. Enterprise agreements may include custom payment schedules, renewal terms, and refund provisions that supersede this general policy.

4.5 Non-Refundable Items

The following are not eligible for refund under any circumstances:

  • Subscription fees for periods during which the Service was used (unless the Service was materially unavailable β€” see Section 4.6)
  • Setup fees or onboarding fees (if applicable)
  • Fees paid more than 90 days prior to the refund request
  • Fees for services consumed (e.g., AI credits if a usage-based tier is introduced)

4.6 Service Credits for Downtime

If the Guiden platform experiences unplanned downtime exceeding 4 consecutive hours in a calendar month, we will issue a service credit equal to one day of the monthly subscription fee for each day of sustained unavailability, up to a maximum of 30 days' credit in a single month. Service credits are applied to future billing periods and are not convertible to cash. Scheduled maintenance windows, force majeure events, and user-caused outages are excluded.

5. How to Request a Refund

6. Disputes and Chargebacks

If you believe a charge is incorrect, please contact us at info@colorcodedkids.com before initiating a chargeback with your bank or credit card company. We commit to reviewing billing disputes within 5 business days and resolving legitimate errors promptly.

Initiating a chargeback for a charge that is valid under this policy may result in suspension of your account pending resolution. We reserve the right to dispute chargebacks that do not comply with this Refund Policy.

7. Termination by Color Coded Kids LLC

If we terminate your account for cause (violation of our Terms of Service), you are not entitled to a refund of any fees paid. If we terminate your account without cause (e.g., we are discontinuing the Service), you are entitled to a pro-rated refund for unused prepaid subscription time, calculated as described in Section 4.3.

If we discontinue the Service entirely, we will provide at least 90 days' advance notice and refund all prepaid but unused subscription fees.
